Terms, Conditions and Rental Agreement

Privacy Policy

1. Overview

By completing a booking with Camcorder Club, you agree to these Terms & Conditions. Camcorder Club provides camcorder rental and video editing services for events. These Terms govern your use of our services and rental of our equipment.

2. Bookings & Payment

  • All bookings must be made and paid in full prior to dispatch.

  • Bookings are confirmed once payment has been received.

  • We recommend booking at least 4–6 weeks in advance, particularly during peak periods. Last-minute bookings may be accepted subject to availability, however delivery timeframes cannot be guaranteed for bookings made within 14 days of your event.

  • All prices are listed in AUD and include GST unless otherwise stated.

  • We reserve the right to decline or cancel bookings at our discretion, with a full refund provided where applicable.

3. Cancellations, Changes & Postponements

  • Cancellations more than 30 days before your event are eligible for a full refund, less a $25 administration fee.

  • Cancellations made 15–29 days before your event are eligible for a 50% refund.

  • Cancellations made within 14 days of your event are non-refundable.

  • If your event is postponed (not cancelled), we will transfer your booking to a new date at no additional cost, subject to availability.

4. Dispatch & Delivery

  • Equipment is typically dispatched 5–7 business days prior to your event via tracked courier.

  • Camcorder Club is not liable for delays, loss, or damage caused by third-party delivery providers, however we will work with you to find a reasonable solution where possible.

  • You must notify us immediately if your package has not arrived at least 2 days prior to your event.

5. Rental Period

  • The rental period begins on dispatch and ends once the equipment has been returned.

  • Standard rental periods apply as outlined at booking. Additional rental days may be purchased.

  • You remain fully responsible for the equipment for the entire rental period.

6. Use of Equipment

You agree to:

  • Use the equipment responsibly and only for its intended purpose

  • Keep the equipment safe, secure, and protected at all times

  • Avoid exposure to water, extreme heat, or unsafe conditions

  • Not tamper with, modify, or attempt to repair the equipment

We recommend assigning 1–2 responsible individuals to manage the camcorder during your event. Use of the equipment is entirely at your own risk. Camcorder Club is not liable for any injury, damage, or loss arising from the use of the equipment.

7. Returns

A prepaid return label will be provided with your kit.

You agree to:

  • Return the equipment using the provided packaging and label

  • Repack all items securely in their original condition

  • Return the equipment within 2–3 business days following your event

Do not use alternative couriers for return, as we cannot accept responsibility for items returned outside of our approved process. Late returns may incur additional fees and may delay your editing and delivery.

8. Loss, Theft & Damage

  • You are fully responsible for any loss, theft, or damage to the equipment from delivery until it is received back by Camcorder Club.

  • Minor wear and tear is expected and accepted.

  • In the event of significant damage, loss, or theft, Camcorder Club reserves the right to charge repair or replacement costs.

Indicative costs may include:

  • Screen damage: $250

  • Functional damage: $400

  • Full replacement: up to $400–$1,500 depending on equipment

  • You must notify Camcorder Club immediately if equipment is lost, stolen, or significantly damaged.

9. Equipment Condition

  • Equipment is provided in working condition.

  • You must notify us as soon as possible if any issues are identified upon delivery.

  • We are not responsible for issues arising from misuse, accidental damage, or failure to follow instructions.

10. Footage & Service Expectations

You acknowledge that:

  • Footage is captured by guests and is not professionally directed

  • The service relies on guest participation and uncontrolled filming conditions

Camcorder Club does not guarantee:

  • That specific moments will be captured

  • The quality, completeness, or usability of footage

  • That footage will meet personal expectations

11. Editing & Delivery

  • Raw footage will typically be made available within 48 hours of receiving the returned equipment.

  • Edited films are typically delivered within 2–4 weeks, depending on demand.

  • Rush editing may be available at an additional cost.

  • One round of minor revisions is included. Additional edits may incur fees.

  • Turnaround times are estimates and not guaranteed.

12. Content Rights & Usage

  • You retain full ownership of your footage and final edited film.

  • By booking with Camcorder Club, you grant us permission to use excerpts of your footage for marketing and promotional purposes.

  • If you do not wish for your content to be used, you must notify us in writing prior to or at the time of booking.

13. Filming & Consent

  • You are responsible for ensuring that all individuals being recorded at your event are aware and consent to being filmed.

  • Camcorder Club is not responsible for any disputes or claims arising from filming or use of footage.

14. Faults & Technical Issues

  • If equipment is faulty due to a technical issue on our end, we will provide a reasonable remedy, which may include a replacement, partial refund, or full refund depending on circumstances.

  • We are not liable for loss of footage due to user error, misuse, or external factors.

15. Limitation of Liability

To the maximum extent permitted by law, Camcorder Club is not liable for:

  • Indirect or consequential loss

  • Missed moments or unmet expectations

  • Shipping delays or courier issues

  • Loss of footage due to user handling

Our total liability is limited to the amount paid for the service.

  • By continuing to use our services, you agree to the updated Terms.
